Aerie & Auxiliary Officer Duties

Officer Duties

At Eagles Aerie 2485, our officers play a vital role in keeping our Aerie and Auxiliary running smoothly. Below are the responsibilities of each position, based on the Laws of the Order.

Aerie Officer Duties

Worthy President

Presides over all Aerie meetings, enforces the laws of the Order, and may decide questions in the Aerie when there is an equal division (except in the election of officers and membership candidates). This position provides general supervision over all affairs of the Aerie unless otherwise noted.

Worthy Vice President

Presides in the absence of the Worthy President and assists in maintaining order. If the Worthy President cannot perform their duties, the Vice President may exercise their powers and responsibilities.

Jr. Past Worthy President

Serves as a member of the Board of Trustees, providing counsel and support to the current President.

Worthy Chaplain

Responsible for conducting all devotional exercises of the Aerie in accordance with Ritual.

Secretary

Keeps full records of Aerie proceedings, reads reports and communications, fills out certificates and membership cards, maintains the roster, affixes the Aerie seal to documents, and performs additional duties as outlined in the by‑laws.

Treasurer

Receives all funds from the Secretary, issues receipts, deposits funds within 48 hours into the designated bank account, signs checks, maintains all financial records, and holds in trust all securities designated to the Aerie.

Worthy Conductor

Ensures only qualified participants remain at meetings, prepares the ballot box for membership elections, supervises voting, introduces and seats visitors, maintains custody of Ritual items, and performs other duties assigned by the Laws of the Order.

Guards

  • Inside Guard: Examines official receipts of members entering meetings and maintains order at the inner door.

  • Outside Guard: Supervises the outer room during meetings, ensuring only members in good standing may enter.

Trustees

Hold all real property belonging to the Aerie and maintain an inventory of personal property. Meet weekly to keep official records, oversee maintenance and operations of the club, manage employee conduct, and enforce House Rules.

Auxiliary Officer Duties

Madam President

Presides at all regular, special, and officer meetings of the Auxiliary, enforces the laws of the Order, and oversees all Auxiliary affairs unless otherwise noted.

Madam Vice President

Assists the President in maintaining order and decorum, inspects ballots with the President, presides in the President’s absence, and fulfills other duties as required by the Laws of the Order.

Jr. Past Madam President

Serves as an advisor to the current Madam President by virtue of completing her term in office.

Madam Chaplain

Conducts all devotional exercises in accordance with Ritual.

Madam Secretary

Keeps full and complete records of Auxiliary proceedings, reads reports and communications, issues certificates and cards, maintains the roster, sends notices, affixes the Auxiliary seal to documents, and collects dues.

Madam Treasurer

Receives funds from the Secretary, issues receipts, deposits money within 48 hours, signs checks, maintains financial records, and holds in trust all securities belonging to the Auxiliary.

Madam Conductor

Madam Trustees

Hold all real property of the Auxiliary and maintain an inventory of personal property. Serve as liaisons between the Auxiliary and Aerie Trustees regarding use of Aerie premises for meetings, social functions, and charitable events.
